A student may withdraw from the University in the first or second semester and be reimbursed fully or partially for the fees and the tuition he/she has paid in the following cases: 1.Before the start of the academic year, a student is reimbursed in full (100%) for the tuition fees he/she has paid. 2.Within a three-day period of the announcement of students admitted to Parallel Learning, a student is reimbursed in full (100%) for the fees and tuition he/she has paid, but after presenting an official document proving that he/she has been admitted to a state university in the major he has been admitted for at Kalamoon University. 3. During the add/drop course period. 4.During the 1st week of the academic year, (or the 1st week of registration, if the student signed up as a freshman after the start of the academic year, or during first week of the add/drop course period for seniors) in which case a student is entitled to only 75% reimbursement of the total fees and tuition he/she has paid. 5.During the 2nd week of the academic year, (or the 2nd week of registration, if the student has signed up as a freshman after the start of the academic year, or during the second week of the add/drop course period for seniors) in which case a student is entitled to only 50% reimbursement of the total fees and tuition he/she has paid. 6.During the 3rd week of the academic year, (or the 3rd week of registration, if the student signed up as a freshman after the start of the academic year, or during the third week of the add/drop course period for seniors), in which case a student is entitled to only 25% reimbursement of the total fees and tuition he/she has paid. 7.No student is reimbursed for fees or tuition after the lapse of the period specified above.

• Evaluating a student’s performance is on the basis of the grades received in the two exams every semester (6th and 12th weeks of each semester, respectively). 20% of the full grade is usually allotted to each of these two exams amounting to 40% of the total grade of the course in a semester.
• Aside from tests, a student is evaluated for his/her semester academic performance as well as for his completion of at least four academic assignments throughout the course. Instructors may, at their discretion, use other criteria for evaluation if they see fit. 20% of the full grade is allotted to the total of these evaluation criteria.
• At the end of the semester students take the final exam which amounts to 40% of their total grade.
• A student’s final grade in a course is then the total of adding the grades in the two tests to his performance grade which, in turn, are added to his/her grade in the final exam.
• Aside from tests, a student is evaluated for his/her semester academic performance as well as for his completion of at least four academic assignments throughout the course. Instructors may, at their discretion, use other criteria for evaluation if they see fit. 20% of the full grade is allotted to the total of these evaluation criteria.
• At the end of the semester students take the final exam which amounts to 40% of their total grade.

Calculating GPA per Semester as well as the Accumulative GPA

1. GPA: every student's semester average (or grade point average) is counted at the end of each semester. It is the total of (the numeric value of the grade each student gets in the courses he/she studied during the course after multiplying them by the credit hours of the course) divided by (the total number of the credit hours of the courses the student studies throughout all the semesters).
2. AGPA: the accumulative average of evaluation points is calculated in the same way; that is by dividing (the total of the numeric value of the grade the student gets in the courses he/she studies throughout all semesters, after multiplying them to the credit hours of the course) by (the total of the credit hours of the courses the student studies throughout all semesters).
3. Passing or Failure (P) courses do not figure in average because this grade is only for pass or fail. The same applies to (W), (I) or (IP) courses because these grades are only descriptions of the student's situation. The (I) and (IP) courses figure in the average, only after they turn into normal grades.

Students’ Unsatisfactory Performance

Cases of students’ unsatisfactory performance in their study are dealt with in the following manner:
1. Any student with an unsatisfactory performance in any course is issued a warning in the middle of the semester. Upon receipt of such warning, the student contacts his/her academic advisor who, in coordination with the instructor of the course, determines the types of exam, study, and extra academic work the student needs to undertake. The dean of the faculty gets informed of this, and the student has to complete his/her extra work before the end of the semester.
2. A student who is unable to complete the required compensatory assignments in a course, for reasons beyond his/her control, gets an I (for Incomplete). In this case, the academic advisor has to submit a report to the faculty council detailing the reasons for the (I) and the type of work the student has not been able to complete, along with his recommendations for extra work and procedures to remove the (I).
3. The student needs to complete the extra work required from him, and remove the (I) before the end of the 6th week of the next semester. Failure to meet this deadline, he/she is given a (Z, Fail for absence; exceeding 15% of the course total class hours) in that course.

In case of failing a course:
1. A student is required to sign up again and retake a course he/she has received an (F) or (Z) in.
2. A student with an (F) or (Z) is allowed to enroll on courses in the next semester. However, he/she cannot graduate before removing the (F) or (Z).

Placing the student under probation

Based on the internal rules and regulations, the student is placed under probation in the following cases:
1. A student with an AGPA less than C (4/2), or who gets two or more (F) or (Z) grades in a semester in the case of a first warning that lasts for two semesters. To surpass this warning, a student is required to accumulate more than a C (4/2), and he/she is to avoid getting more than one (F) or (Z) in a semester.
2. A student with an AGPA less than D (4/1) is placed under a final warning.
3. If a student fails to raise his/her AGPA to at least C (4/2), or if he/she gets more than one (F) or (Z) grades in a course at the expiry of the first warning, he/she is placed under final warning for another semester.
4. University Council may, at a justifiable recommendation of the student’s advisor, place the student concerned under another final warning for another semester after the lapse of the first warning period.

1. Students are not allowed to have in their possession any dictionaries, references, or lecture notes during exams, unless otherwise stated by the council of the concerned faculty.
2. Students are not allowed to wear hats or caps of any sort while taking exams.
3. No borrowing of any kind is allowed during exams (such as borrowing a calculator, a rubber, or ruler, etc)
4. No pencils are allowed in tests except for drawings or charts.
5. No mobile phones or any other equipment are allowed, except for calculators when the instructor of the course allows their use.
6. No food or drinks are allowed during exams.
7. Students are to come to their designated exam halls at least 5 minutes earlier than the start of the examination.
8. Students showing up to exams or tests five minutes late are barred from taking that test, unless otherwise decided by the head of the examination committee.
9. Students are not to talk or move around in the exam classroom without the permission of the proctor(s)/ invigilator(s) present and who is responsible for the smooth running of the examination, and for ensuring that there is no cheating. No change of seats is permissible nor changing the arrangement of desks in the examination room, unless the proctor allows that.
10. Under no circumstances are students allowed to return to exam rooms after they have left them.

2. Turning around to the right and left, looking up and down.
3. Making unjustifiable noise during the exam.
4. Shifting around furniture in the classroom or anything of that sort which disrupts the orderly process of the exam.
5. Any conduct the proctor deems disorderly.
6. Hiding (stashing) any references, audio devices, or equipment anywhere in the exam room.
7. Using any means of copying information (disk crib notes, crib notes, etc.) that is related to the exam questions.
8. Being rowdy or talking to other students without the proctor’s permission, or whispering, gesturing, waving, nodding, signaling, or any other signal the proctor deems unruly.
9. Not abiding with the instructions of the proctor in regards to keeping discipline in the exam room, such as doing anything or making any noise or gesture the proctor deems disorderly or disruptive.
10. Any verbal or physical offense against a proctor, an instructor, or administrator.

Exam Infractions and Penalties
Penalties for exam infractions vary according to the seriousness and the extent of such infractions.
1. Alerting the student and giving him/her a first warning.
2. A proctor gives a second warning by writing a note on the back of the student’s exam paper confirming the infraction.
3. Disallowing the student to continue taking the exam, and evacuating him/ her from the examination room; a penalty that is inconsequential to other courses.
4. Removing the student from the exam room, and writing a report (about the incident) to be kept on file, inconsequential to other exams in other courses.
5. Barring the student from taking other exams and giving him/her a failing mark in them.
6. Barring the student from taking exams fro two consecutive exam cycles, based on the investigation conducted by the faculty council and its ensuing proposal, as well as the decision of the university council.
7. Cancelling the student’s registration in the faculty without reimbursement of fees and tuition, in accordance with existing rules and regulations.
8. Irrevocable expulsion/ dismissal of the student from the university.
Penalties listed in (5) (6) and (7) are imposed only by the disciplinary committee.
